Evidence readiness

Our customers or lenders want sustainability evidence

Respond with evidence that serves the business.

A customer questionnaire, financing discussion or tender may ask for sustainability information your organisation has never assembled in one place. The immediate challenge is to provide credible answers. The longer-term opportunity is to make that information useful across more than one relationship.

Questions we help you answer

  • What is required for this relationship, and what is being requested voluntarily?
  • Can we substantiate the information we currently provide?
  • Which gaps could delay a tender, investment or financing discussion?
  • How can we avoid rebuilding the same answers for every customer or lender?

How we help

We establish which requests matter, what your existing records support, and where a claim or figure needs stronger evidence. The response is scaled to your organisation and the decisions in front of it.

What you receive

An engagement can deliver an evidence-gap review, a controlled set of approved responses and sources, and a practical plan for the remaining gaps. Where assurance is required, we help prepare the underlying governance and evidence; the assurance itself remains with the appointed provider.

Illustrative situation · United States

Which EU customer requests deserve a common answer?

A US manufacturer receives different sustainability questionnaires from several European customers. A request from an EU buyer does not automatically put the US company within the EU's statutory reporting scope. Yet unanswered or inconsistent requests can still affect a tender or a continuing commercial relationship.

Polytrop could sort the questions by customer decision, test which statements the existing records support, and prepare a reusable set of responses with clear ownership. Management would see where new evidence is worth the effort and where a wider reporting exercise would add little.

Illustrative situation · Greece · tendering and finance

Can one evidence base serve several counterparties?

A Greek engineering firm is asked for environmental and workforce information in a public tender, a bank discussion and a major customer review. The requests overlap but are not identical. Preparing a separate polished report for each may use time without resolving whether the underlying figures and claims can be supported.

Polytrop could establish a common set of source records, approved answers and named owners, then identify what each counterparty still needs. The firm would have a basis for answering promptly and for deciding whether a broader voluntary disclosure exercise is worthwhile.
